Horseheads High School Blue Raider Marching Band 2014-15
Thank you for your interest in the Horseheads Blue Raider Marching Band’s Quadrennial trip to Walt Disney World, Florida February 15-21, 2015.  This will be the 9th time the Horseheads Blue Raider Band has been accepted to perform at Walt Disney World! This is not a required trip. The following information is for those students interested in attending and their families.
Student cost is estimated at $750. This includes Charter Coach Transportation leaving February 15 and returning to Horseheads HS February 21st, Four nights Quad occupancy at the All-Star music Resort on DisneyWorld property, a 4-Day Hopper pass to all of the four major DisneyWorld Parks, Parade, and surprise experience.
 
Parents/family can partake of the special room and Hopper pass prices because of the marching band’s participation at DisneyWorld.

Parent/family prices include 4 nights occupancy at the All-Star Music Resort [same resort, but not necessarily in same building as the students and chaperones) and 4 day hopper pass to all of the 4 major Disney World Parks.
 
Students are expected to adhere to all Horseheads School District and HS rules, as well as all instructions from the director and chaperones regarding behavior and meeting at appointed times for group activities, and must answer their phone or will be sent home at parents’ expense.
Meals are the responsibility of each individual student. Please see the attached information regarding Dining Cards and Meal Coupons, if interested.
In addition to the director and three band staff, there will be the required number of chaperones and a nurse on the trip. Each student will have an information card with phone numbers of the hotel, nurse and chaperone. Parents will have the latest itinerary and emergency numbers of hotel and director. Staff and Chaperones will have a list of every student’s cell phone number. A medical form will need to be completed as we approach the date of the trip and will be carried by the nurse at all times.
 
A deposit is due by June 20th so we can secure our hotel room blocks and charter coaches.  Please complete the following slip and return with your deposit at your earliest convenience before June 20th.

Frequently asked questions:
Is there a payment schedule?  Yes we plan on the following payment schedule.  If the last payment needs to be adjusted we will let you know what it will be. We DO NOT anticipate an increase. The Disney prices we have received have been confirmed for 2015.

If one of the persons in our room is a child, does the cost change?  No, the room cost is equally divided between the number of people in the room. Mathematically it would come out the same. It is easier for us this way.
If one of the persons in our party is under 9, would the hopper-pass cost less?  The savings on our 4-day hopper-passes is so great,  it is significantly less than a 4-day hopper pass for “9 and under”.
Will the hopper passes allow admission to the Water Parks?  Our hopper passes do not include admission to either of the Water Parks or DisneyQuest interactive game center at DownTown Disney WestEnd.
Can I meet my child in the parks for meals and or rides?  Of course, as long as it does not overlap with any of our group activities!
How will I know when my child is performing?  As soon as Disney assigns us our Magic Kingdom Parade time, we will post it for everyone. All cell phones and cameras are collected by their direct-report chaperones BEFORE the students go backstage to prepare for the parade.  Only staff and 2 chaperones to assist with unloading and uniforms are allowed with the students before the parade begins.  Phones and cameras will be returned to the students following their performance.
Will there be any fundraising to help the students defray the cost?  Yes, we plan on continuing with our candy bar sales, assisting in directing parking at Tagsylvania, Papa John’s pizza fundraisers, and a brochure sale as well as exploring others. 
How will my child be checked on at Walt Disney World? The safety and comfort of your child is very important on a long trip to a popular vacation destination. Chaperones and staff will have phone lists of all students and emergency contacts. Each chaperone will be assigned students that they are directly responsible for waking up In the morning, checking in at night, room checks, and reviewing upcoming responsibilities. Chaperones and staff will rotate outside security every night. Chaperones will be at the resort for pool duty throughout the day for those that return to swim and students are required to notify the chaperone on duty when they have returned to the resort. Students are to be in groups of no smaller than 4. Our Nurse will have the medicals forms on hand at all times.  There are events for everyone will attend such as the surprise event, parade and others that will require all students meeting together. A whiteboard will be placed prominently in a centralized room window so everyone can check the events of the day.
What about Magic Bands? That was a question of mine! At this point, I’ve been told everyone will have magic bands for room access. 4-day hopper passes will still be a paper ticket. I was cautioned that Disney changes technology frequently and things could change by our trip in February. Fast passes are set up with your ticket at Kiosks located throughout the parks.
